How to Create Travel Proposals & Trip Itineraries

Learn how modern travel agencies and DMCs build, organize, and export client-ready travel proposals, itineraries, and trip budgets with Ghloria.

Ghloria organizes each client's travel plan per trip. A trip belongs to one client and can hold several proposals, for example a budget option and a premium option for the same journey. Every proposal therefore starts from a trip, which is tied to a client: the proposal is where the agency builds and prices the offer, and the trip is the container that keeps the client, destination, dates, and document history together.

Create the trip

Go to Trips → New Trip. Add a working title such as "Japan Spring 2026" if you want one. The trip is the starting point: everything else is attached to it.

Create or associate the client

In the same form, choose an existing client from the search, or enter a new client's name, email, and phone. Existing clients keep the trip and its proposals connected to the CRM record. Ghloria validates email and phone formatting before saving. After saving, the trip detail page opens. See Trips for the full trip record.

Create the proposal inside the trip

From the trip detail page, create a new proposal, or link an existing proposal from the same client. The proposal inherits the client and trip. You can create more proposals in the same trip later to present alternatives. If a linked trip belongs to another agent, Ghloria asks for confirmation before switching the proposal.

When a proposal is duplicated, Ghloria copies the proposal content while clearing the client and trip linkage so the new proposal can be assigned deliberately.

Define the trip scope

In Client & Trip, add the destination or destinations, travel dates, adult count, and child count. The linked client fields are read-only in the proposal so it stays aligned with the client record. Draft proposals can be incomplete while the team is still collecting details, but the final proposal should have enough structure for pricing, itinerary, and client presentation.

Present several proposals in one trip

A trip can contain multiple linked proposals. The trip detail page shows client information, destination, dates, linked proposals, proposal statuses, total value, files, and ERP link. Operators can create another proposal for the trip, upload trip files, rename the trip, or delete it when appropriate.

Operational rule

Use the trip record as the source of operational continuity. Use proposal versions and proposal options to manage commercial alternatives, revisions, and client-facing delivery.

Proposal Deletion Governance

To safeguard agency proposal history and prevent accidental removals:

  • Consultants: Clicking delete on a proposal initiates a Pending Deletion Request. The proposal stays visible with an indicator, and the consultant can cancel the request at any time.
  • Managers: Receive notification via the header bell to review, approve (permanently deleting), or deny (restoring) the request. Managers can also delete proposals directly.
