Travel Assistant

A workspace-aware assistant that reads your clients, proposals and suppliers, proposes actions you confirm, and suggests proposal edits you accept or reject.

The travel assistant is an AI layer that works on your agency's own records. It can find clients and proposals, review a proposal before it is sent, propose new records, and suggest edits inside the proposal editor. Nothing is created or changed until a team member confirms it.

The assistant has two entry points:

WhereWhat it works on
Assistant tab (/assistant, or /assistente in Portuguese)The whole workspace: clients, trips, proposals, suppliers and destinations. This is the only place where new trips and proposals are created or proposals are copied.
Proposal editor sidebarThe proposal that is open. It can read and review that proposal and suggest changes to its itinerary, stays, flights, cruises and extras.

What The Assistant Can Read

The assistant looks up information in your workspace before it answers. While it works, the chat shows what it is doing, for example "Reading the client's history…" or "Checking your pipeline…".

  • Clients: find a client, read their history, and flag possible duplicate client records.
  • Proposals and trips: search past work, list records, read a proposal's details including budget and margin, find similar past proposals, and get a proposal's links.
  • Proposal review: check a proposal for gaps and inconsistencies before it goes to the client.
  • Pipeline and sales: summarise the pipeline, add up sales, and check upcoming departures.
  • Suppliers: search suppliers and look up the prices they quoted before.
  • Destinations and hotels: find a destination, read what your agency already knows about it, and look up a hotel.
  • Web pages: read a page you paste into the chat. Answers that use online information list their web sources.

Actions You Confirm

When a request needs a change in the workspace, the assistant replies with a Proposed actions card instead of acting immediately. The card lists each step and its values, such as the client name, trip dates or new status. Nothing is created until you click Confirm. Cancel discards the plan.

The assistant can propose these actions:

  • Create a client
  • Create a trip (Assistant tab only)
  • Create a proposal (Assistant tab only)
  • Copy a proposal (Assistant tab only)
  • Move a proposal into a trip
  • Change a proposal's status
  • Update a proposal's details
  • Save content to the destination library: overview, local tips, events, emergency contacts, internal notes or a saved itinerary, added to or replacing what is already saved
  • Add a supplier note
  • Generate the presentation

After you confirm, the card links to each record it created, such as Open client, Open trip or Open proposal.

Suggested Changes In The Proposal Editor

When the assistant is opened from the proposal editor, it can draft content directly against that proposal: itinerary days, the overview text, stays, flights, cruises and extras. Each draft appears as a Suggested change card that shows what is new, what changes and what already exists.

  • Accept applies the change to the proposal. The editor reloads with the saved proposal, so save your own edits first.
  • Reject dismisses it.
  • If a newer suggestion replaces an older one, the older card is marked as replaced.

Suggestions that are still waiting for a decision are kept when you come back to the conversation.

Latest draft only

The assistant can only edit the latest draft version of a proposal. To work on an older version with the assistant, open the latest draft first.

Importing Documents From The Chat

You can attach supplier documents or past proposals to an assistant message. Ghloria asks where the import belongs, for example a new proposal, and then starts the import. The attached files are kept in your browser for 24 hours while you choose. Document imports require import access in the workspace.

Example Prompts

"Which proposals for Japan did we send last year, and what margin did they have?"

"Review the Silva honeymoon proposal before I send it."

"Create a client called Ana Costa and a trip to the Azores for 4 travellers from 12 to 19 June."

"Add a free day in Kyoto between days 4 and 5 and move the tea ceremony to the afternoon."

"What did our Lisbon DMC quote us for transfers last time?"

Reliability And Limits

  • Messages are limited to 8,000 characters.
  • Responses stream into the chat as they are written. If an answer is cut off, it is marked as incomplete so you can send it again before using it.
  • Conversations are kept, so you can return to a thread and continue it.
  • When the AI service is busy or you send messages too quickly, the chat shows an error instead of a made-up answer.

The assistant can still produce wrong information, especially dates, prices and entry requirements that come from the web. Review its output before it reaches a client. The assistant does not make live bookings or check real-time supplier availability.

Position In The Workflow

The assistant speeds up work on the agency's structured records. Clients, proposals, budgets and delivery stay in their own areas of Ghloria. The assistant reads them and proposes changes, and your team decides what is applied.
