Inviting Team Members

How to add new members to your Ghloria workspace, assign roles, and manage the team.

Inviting Team Members

Ghloria workspaces are invite-only. Only Workspace Owners can send invitations. New members join through an email link and complete a one-time account setup before accessing the platform.


Sending an Invitation

Go to Settings → Workspace → Members

Open Settings from the navigation and select the Workspace tab. The members table shows all active members and any pending invitations.

Enter the member's email

Click Invite member and enter the email address. Email addresses are normalized (trimmed, lowercased) before the invite is sent. The default role assigned to new invitees is Consultant.

Confirm and send

Ghloria sends an invitation email with a setup link. The invited member appears in the members table with a Pending status immediately after the invite is sent.

Existing Workspace Owner Shortcut

If you invite someone who already has an active Workspace Owner account in another Ghloria workspace, they are added to your workspace directly — no setup flow is required. Their existing account and default workspace remain unchanged.


What the Invitee Receives

The invitee receives an email with a setup link. When they click it:

  1. Ghloria validates that the email matches a pending invitation in the system.
  2. The invitee completes the account setup form: name, password, and profile details.
  3. Their role and workspace assignment are set from the invitation — not from anything they enter during setup.
  4. After setup, they are signed in and directed to the workspace.

If the invitation link has expired, the invitee can request a new link from the expired link screen. Ghloria validates the email against the pending invitation before resending — it cannot be used to trigger password recovery or magic links for arbitrary email addresses.

Invite-only access

There is no self-signup flow. A valid, pending invitation is required to complete account setup. If someone tries to set up an account without a matching invitation, the setup page will redirect them to the login screen.


Managing Roles After Joining

Once a member has joined, Workspace Owners can change their role from the members table.

Role changes take effect immediately. Downgrading a member removes access to role-gated features right away. Their data (proposals, clients, trips) is not affected.

Member removal

Removing a member revokes their access to the workspace. Their authored proposals, clients, and trips remain in the workspace assigned to them — you can reassign ownership through those records.


Resending an Invitation

If an invitee has not completed setup and needs a new link:

  1. Locate the pending invitation in the Members table.
  2. Use the resend option. Ghloria sends a fresh invitation email to the same address.

Resend is only available for pending invitations. Ghloria validates the email against the existing invitation row before sending anything.


Multi-Workspace Accounts

Workspace Owners who belong to more than one Ghloria workspace can switch their active company context using the company switcher in the navigation header. Each workspace has its own member directory, proposals, clients, and trips. Inviting a member to a second workspace adds them to that workspace without affecting their primary workspace membership.
