Proposal Versions

How to manage revisions, statuses, and client delivery records.

Proposal Versions

Ghloria treats proposal revisions as versioned commercial records. This lets an agency keep the working draft separate from generated or sent versions, compare alternatives, and preserve delivery context.

Version list

The proposal detail page shows the draft version and generated versions. Each version has a version number, optional label, status, creation date, and delivery source.

Version Status Lifecycle

Proposal versions move through a defined set of statuses. Understanding when to apply each status keeps the commercial record accurate.

Draft → Open → Closed
              → Cancelled
StatusWhat it meansWhen to use it
DraftThe version is still being builtWhile the proposal is being edited or reviewed internally
OpenThe version has been sent or shared with the clientAfter the proposal is delivered — by email or PPTX
ClosedThe client has accepted this versionWhen the client confirms they want to proceed with this proposal
CancelledThe version is no longer being pursuedWhen the client declines, the opportunity is lost, or a newer version replaces it

Creating a new version vs editing the draft

If you need to revise a proposal the client has already seen, create a new version rather than editing the existing one. This preserves the original delivery record. Only edit the current draft when the client has not yet received that version.

Delivery sources indicate how the client received the proposal:

SourceMeaning
Not sentVersion exists but has not been delivered to the client
Platform generatedSent through Ghloria (email or PPTX generated in-platform)
External linkShared via a link created outside the platform

Editing and duplicating versions

Only editable versions can be changed. The interface indicates when a selected version is not editable and directs operators back to the draft when needed.

Operators can rename a version when the version is still modifiable. They can also duplicate a selected version to create a new draft alternative without rebuilding the proposal from zero.

Sending and status tracking

When a version is sent, Ghloria records the delivery source and related delivery details. Status changes can be applied from proposal and trip tables when a version is available, keeping commercial progress visible across the booking workflow.

Versioning principle

Use versions for client-facing commercial changes. Use the trip record for operational continuity after the client accepts a direction.
