Proposal Website

Publish a proposal as a password-protected webpage that clients open on any device, with live sync status, version switching, client documents and PDF download.

Every proposal version can be published as a public webpage. Clients open it in any browser, on a phone or a desktop, without an account or an app. The website is built from the same proposal data as the PowerPoint and email exports, so itinerary, stays, flights, cruises, extras and pricing stay consistent across every channel.

Publishing The Website

Open The Export Panel

In the proposal editor, click Export and choose Website. Save the proposal version first: a website can only be published from a saved version.

Choose Language And Budget

In General settings, pick the language of the website and the budget view: Standard, Budget Scenarios or Traveler Groups. See Exporting and Sharing Proposals for how translation works.

Customise Description And Images

Write a short description for the website. Under Images, the main images come first: the first one is the hero, and the rest appear in the carousel. Below them, each flight, hotel, cruise and extra has its own images.

Preview

Click Preview to see the website exactly as the client will. The preview link requires a Ghloria login.

Publish

Click Publish website. Ghloria creates the link and an access password. Clients don't see anything until you share the link with them.

Sharing And Access

The website is protected by a password of 8 letters and numbers. Passwords are case-sensitive. Everyone on the team who works on the proposal can see and copy the password from the export panel.

  • Proposal URL: the shareable link includes the password. Anyone who opens it has the password filled in and only needs to confirm access, so share it carefully.
  • Copy, Open and Email link to client are available next to the link.
  • Shared link previews: when the link is pasted into WhatsApp, email or other messaging apps, the preview shows the proposal cover photo, falling back to the agency logo.

To revoke access, use Turn website off. The website is hidden immediately for everyone with the link, and you can reactivate it at any time.

Keeping The Website Up To Date

Changes to images and description are locked on publish. The website only shows updates after you republish it. The panel shows the website's sync status:

StatusMeaning
Synchronized with proposalThe public website matches this proposal. No republish is needed.
Unsynchronized with proposalThe proposal has changes that are not yet on the website, for example after a rename or a service edit. Click Republish website.
Different proposal versionThe website is showing another version of this proposal.

To show a different version to the client, open that version and choose Change website to this version. The switch is immediate: anyone with the link sees the new content.

What The Client Sees

The website has a side navigation with these sections, shown only when the proposal has content for them:

  • Overview: cover photos, trip dates, travellers and the trip description.
  • Itinerary: a day-by-day timeline. Each service on a day links to its flight, hotel or extra card.
  • Accommodation, Cruises, Flights and Extras: cards with photos, room or cabin details and prices.
  • Pricing: the budget in the view you chose. With Budget Scenarios, the client picks the number of travellers from a dropdown. Proposal options appear as tabs.
  • Details: included and excluded services, insurance and important notes.
  • About: your agency, with its contacts and legal details such as legal name and registration numbers.
  • Documents: the files you share with the client (see below).

Clients can also download a PDF of the proposal, use Contact agent, and switch to dark mode. The website opens in the visitor's system theme. On phones, the price stays in a bottom bar and photos can be swiped.

Client Documents

Under Client documents in the export panel, upload files for the proposal version and decide which ones the client sees:

  • Give each shared file a category: Travel documents or Practical information. Files without a category stay internal.
  • Add a description for the client, for example "Show at check-in".
  • Choose when each file is released: Immediately or on a specific date.
  • Reorder and rename files. Renaming changes the file name everywhere, not only for the client.

Turn off Show on website to hide all documents at once without deleting them.

Deleting a file

Deleting a client document removes it from the proposal version, not only from the client's view. This cannot be undone.
